Why You Need a Wedding Itinerary Template

If you want to plan your big day as effectively as a professional wedding planner, start your journey with a carefully prepared itinerary. Here's why;

Helps Organize Multiple Vendors

Any wedding, big or small, requires multiple vendors working together to make it happen. From the venue itself, to the caterers and photographer, down to the entertainment team and celebrant. Everyone needs to know what each other is doing and when, in order to seamlessly work as a group.

A thoughtfully designed wedding schedule highlights when and where each vendor needs to be throughout the day, or across a wedding weekend. Our free itinerary template makes it easy to create a full itinerary for multiple days, ideal if you're planning a destination wedding, or many wedding events.

Plan a Seamless Wedding Celebration

Every moment of your wedding should ideally roll into the next without delay, or sense of being rushed. A wedding planner template will help you do that, making it easy to allocate time effectively throughout the day.

Stress-free Wedding Planning

If you're planning a relatively small wedding, one without major moving parts, there's no need to create an overly detailed wedding day itinerary. All you need to note down are the basic steps you'll be going through, from waking up, to waving goodbye at the end of the night.

Once you have a ceremony and reception timeline in place, you will feel more confident that everything is in place. That you can walk through each step of the day without fear something has been forgotten.

How to Create the Perfect Wedding Schedule

Customizing a wedding itinerary template for a small wedding is much like planing a larger celebration. The only difference being that the overall vibe is often more relaxed and the major moments are typically more personal.

Start with the Basic Structure

We've found that couples frequently get carried away when personalizing their wedding template, and start planning the more intricate parts of their big day, before jotting down the basics. In our experience, it's much easier to get the key details such as ceremony start time, cocktail hour duration and reception length nailed, before tackling any finer points.

Plot each part of the day in order of importance, that way no part of the wedding program can be forgotten.

Build in Travel Times

A short walk always takes longer on a wedding day. Guests stop to chat, take pictures and generally like to take their time. Older relatives also require more of a buffer to get from one location to the next. Be mindful of all of this when making a wedding itinerary by building in travel times between destinations. Especially if you're tying the knot in a different location to your wedding reception.

Create Various Wedding Day Itineraries

A major bonus of using a free wedding itinerary builder such as ours is that you can create multiple different PDF timelines for various groups of people. We've found doing this really helps avoid confusion between vendors and your wedding party. Because while it's a good idea to provide everyone with information, it's not wise to provide unnecessary detail.

Begin by creating a master digital template, and then scale down that timeline and create a special itinerary for every group who needs one. Such as your wedding venue, vendors, bridal party, and wedding guests. Our itinerary is easily downloadable and printable in either spreadsheet or PDF format.

How to Personalize a Wedding Itinerary for an Intimate Celebration

The beauty of an intimate wedding is how personal you can make it. As close family and friends will appreciate thoughtful gestures, and little details, on a level that larger crowds simply cannot. Not only that, but a smaller wedding allows you, the marrying couple, the freedom to plan more activities just for yourselves.

Schedule Stolen Moments

We love the idea of a private exchange of vows before the actual ceremony. A time for each of you to share privately how you feel about one another, away from the eyes of friends and family. This helps to deepen the meaning behind the day and strengthen the fact that this day is all about the two of you.

Staging this type of pre-ceremony exchange is not always possible, or desired. But we believe it's important to at least schedule a few moments away from guests, just to soak up the excitement you'll both be feeling on the day.

Quality Over Quantity

Large weddings typically require mass catering, bulk stationery and event choices based on budget, rather quality. Intimate celebrations do not require the same sacrifices. Instead, couples are generally free to focus on building an intimate experience for their guests. Providing loved ones with quality food, thoughtful decoration and more heartfelt moments.

Opt Out of Tradition

If we tied the knot all over again, we'd skip the first dance and replace it with a group activity. Anything that doesn't involve us dancing alone in the spotlight! The wonderful thing about more intimate weddings is that you're free to schedule your wedding how you like. And if you'd rather replace your first dance with an intimate round of toasts, for example, you're free to do so. Without fear of judgement.

We love the idea of replacing the typical wedding reception dinner with a more chilled, sharing platter experience. Something that brings people together naturally over food. Cocktail hour could also be relaxed and involve guests ordering, or even creating their own drinks! These types of more labor and time - intensive activities are all more doable because the guest list is smaller.

Build a Flexible Wedding Day Itinerary

If you've ever been to a large wedding, you'll know that they need to be planned with military precision to avoid delay and ensure a fluid experience for all. There is less need for smaller weddings to be so regimented.

We've found that building flexible buffers into modern wedding schedules helps to keep the entire event feel more relaxed. For instance, there's no need to restrict cocktail hour to just an hour if you feel guests are having a great time. Give yourselves and loved ones another 30 minutes and let everyone thoroughly enjoy the moment, without feeling like they're being rushed.

Create a Small Wedding Timeline Template Stress-free

Small weddings can be just as stressful to plan as larger celebrations, especially when you consider the increased focus on every decision made. On the flip side, keeping things small means many tasks are more manageable and can actually be tackled by your friends and family. Reducing the number of vendors required.

Here are a few ways to limit the stress of planning an intimate wedding.

Trust Loved Ones with Small Jobs

Because a wedding is intimate, it's tempting to try to plan it alone. But tackling every job, big or small, on your own, is rarely a wise move. Instead, we'd suggest delegating tasks to trusted members of your family, or friends. Make the planning of your wedding a collaborative activity, one you all have a shared responsibility in pulling off.

By making almost every wedding planning job a shared activity, you're not only increasing your chances of creating the wedding you desire. But you're also helping to garner a more celebratory atmosphere on the day. As everyone around you has played a part in making the event happen.

Keep Your Wedding Planning Online

The easiest way to involve loved ones in your wedding planning and streamline the entire process, is to take things online. Our free wedding planning tools can help you take care of almost every aspect of event organization. From preparing a wedding budget and arranging a seating plan, to building a wedding website and designing stationery. All of which can be collaborated on with your wedding team.

We make it easy to share the wedding planning load by giving you the ability to invite friends and family onto your personal wedding project, and provide them the level of access you desire. Ideal if you'd like some loved ones to be able to view your plans, and offer their thoughts, without having the ability to edit your work. The perfect option when you want Mom's opinion on something, or would just like your best friend to review the guest list.

If you require more direct involvement from friends and family, we also offer an editable option. Which allows guest users the opportunity to modify your wedding project, and play a greater part in the scheduling of events, budget or any other live activity in your wedding project.

Let's Plan Your Dream Intimate Wedding Weekend Itinerary

No matter what stage of wedding planning you're at, there's no bad time to start piecing together your wedding timeline. And we believe our free itinerary planner will make the entire process straightforward and stress-free.
